Terms and Conditions

These Terms and Conditions govern the use and contracting of services offered by Machupicchu Agency, operating in the city of Cusco, Peru (Tax ID (RUC) N. 20600692420). By contracting any of our services, the client declares to have read, understood, and fully accepted the conditions described herein.

Rates

Pricing, validity and conditions

  • Rates are net, non-commissionable and expressed in US dollars (USD).
  • Rates valid through December 2026.
  • Prices can be guaranteed once the reservation has been confirmed by your booking executive.
  • The service is considered confirmed when your executive responds confirming the services after the agreed payment or prepayment.
  • Booking requests must include complete passenger details, tour information and travel dates (attach passport or ID image).
  • Rates consider promotional prices subject to specific schedules; your sales executive will inform you of train schedules when confirming the reservation.
  • Any change in date or service after payment confirmation will be subject to availability and possible penalties or rate differences.
  • The company acts as an intermediary between the client and third-party providers (hotels, trains, airlines, Ministry of Culture, Consettur, etc.). If any modify their rates or conditions, the company reserves the right to pass those increases on to the client.

Payment Terms

Schedule and confirmation

Machupicchu Agency commits to confirming all selected services once full or partial payment has been received according to the following schedule:

Upon service confirmation

Initial payment to guarantee the booking

Up to 30 days before

Remaining balance before the operation

Once the transaction is completed, you must send us the payment voucher for review and confirmation, along with complete information for each passenger, travel dates and service details.

All reservations will be considered confirmed only once the payment receipt has been received and official confirmation has been issued by our company.

The company reserves the right to release spaces, tickets or services if the indicated payment schedule is not met.

Payment Methods

Options and fees

All payments must be made in the currency indicated in the quote (US dollars). Any exchange rate difference should be consulted in advance with your booking executive.

All costs for national or international transfers, bank fees, card charges or payment gateway fees will be assumed by the client.

The sender assumes the transaction fee

It is the client's responsibility to verify that payments are made only to the company's official accounts. We are not responsible for deposits made to unauthorized accounts.

Cancellation Policies

Important policy - please read carefully

Services (transfers / tours)

Up to 30 days before 25% penalty
Up to 10 days before 50% penalty
Up to 5 days before 70% penalty
Up to 2 days before 100% penalty
No-show (failure to appear) No refund

Machu Picchu Ticket

100% penalty. According to the Ministry of Culture policies, there are no refunds; nor changes of name, date, time or personal data.

Train Ticket

From 10% penalty. Peru Rail and Inca Rail have their own cancellation policies depending on how close the travel date is. Please consult your executive.

Inca Trail Tour

From 50% penalty. Inca Trail packages are subject to differentiated cancellation charges depending on proximity to the travel date. Please consult your executive.

Accommodation

Usually 100% penalty. Each hotel has its own cancellation policy. Please consult your executive.

Please contact your sales executive to detail the applicable penalty amount in case one or more passengers do not travel.

Liability

Regarding particular situations

  • Machupicchu Agency cannot be held responsible for injuries, losses, accidents, delays or irregularities caused by omission or negligence of companies or individuals providing transportation, accommodation or other related services.
  • We are not responsible for the cancellation of services or tours due to natural phenomena, illness, wars, quarantines, strikes, or interventions by authorities or other factors beyond our control.
  • The agency reserves the right to change any tour or excursion if deemed necessary to provide a better travel experience.
  • Machupicchu Agency is not responsible for visa or vaccination procedures required by the passenger.

Privacy & Data Protection

Information protection

  • By using our services, you accept the collection of personal data such as name, phone number, email address and travel details.
  • Information is used to manage bookings, provide tourism services, process payments and comply with legal obligations.
  • We take measures to ensure the confidentiality and security of your personal data through industry-standard practices and technologies.
  • We will not share your information without your consent, unless legally required.
  • Under Peruvian Law No. 29733, you have the right to access, rectify, cancel or oppose the processing of your data.

ESNNA Code

Child protection

Machupicchu Agency complies with the Code of Conduct for the Protection of Children and Adolescents against Sexual Exploitation in Tourism (ESNNA) in Peru. We work closely with competent authorities and local organizations to report any case of sexual exploitation.
